Visitor Management Systems

In most organizations, visitors and contractors are asked to sign a paper guest log. While this method of keeping track of visitors is perceived as quick and easy, it provides very little security, and poses a number of other problems:
* More often than not, the names are not legible, or are false.
* In an emergency (fire, etc.), it would be impossible to quickly determine who is still in the building (names aren't legible or check out times may not be required.)
* Information regarding who has visited the company is readily available for everyone to see; this information should be confidential.
* Paper logs and hand-written visitor badges present a poor image to visitors and a perception of lax security.

To address these issues, both large and small organizations are implementing electronic visitor management systems. These systems reside at the reception desk, and automate the entire process of registering a visitor and printing a badge.

The more comprehensive systems electronically scan the visitor's ID (business card, driver's license or passport), and automatically capture name, company, title, contact information, etc. into a database file, with photo and signature, name of the person being visited, reason for the visit, and entry and exit times.

The system prints a professional quality, customized badge. Badges can be black and white or color, and can have the company's logo, visitor's name and photo, host name, expiration date, and any other relevant information on it.
